Welcome, dear student, to Kitab Institute! We are delighted to have you join our community dedicated to the pursuit of knowledge. This policy is designed to create a harmonious and effective learning environment for all. We pray for your success in your studies, Insha’Allah.

Our Commitment to Time: Valuing Punctuality



In Islam, respecting time is a virtue. We encourage all students to embody this by being punctual for their classes.

Be Prepared: Please arrive in the virtual classroom at least 2 minutes before the scheduled start time, with all necessary materials ready for an engaging lesson.
Calendar Invites: We will send you a calendar invitation for your classes. Kindly accept this and set a reminder (e.g., 30 minutes prior) to ensure you are prepared and on time. Your diligence in this regard is greatly appreciated.
Teacher’s Arrival: Your teacher will commence the class promptly at the scheduled time. If a student is not present, the teacher will wait for the first 15 minutes. If the student does not join within this period, it will be marked as an unexcused absence, and the class will not be rescheduled.
Late Arrival: If a class begins late due to a student’s late attendance, the teacher is not obligated to extend the class to make up for the missed time. We seek your cooperation in ensuring that learning time is maximized.
Teacher’s Absence: Should your teacher not be present in the classroom at the scheduled time, please contact us immediately so we can address the situation swiftly. You can reach us via:

Subscription Cycles: Planning Your Learning Journey



Your learning journey with Kitab Institute is structured through subscription cycles, which renew automatically to ensure continuity.

Cycle Durations: Subscriptions are based on cycles of 4 weeks (Monthly), 12 weeks (Quarterly), 24 weeks (Semi-Annual), or 48 weeks (Annual).
Classes per Cycle: The number of classes in each cycle depends on your chosen plan. Here are a few examples:

Example for a 1 class per week subscription:

Monthly Cycle: 4 classes
Quarterly Cycle: 12 classes (with a 5% discount)
Semi-Annual Cycle: 24 classes (with a 7% discount)
Annual Cycle: 48 classes (with a 10% discount)

Example for a 5 classes per week subscription:

Monthly Cycle: 20 classes
Quarterly Cycle: 60 classes (with a 5% discount)
Semi-Annual Cycle: 120 classes (with a 7% discount)
Annual Cycle: 240 classes (with a 10% discount)

Student Absences: Our Policy with Understanding



We understand that unforeseen circumstances may arise. If you need to miss a class, please inform our Support Team at least 12 hours in advance.

Excused Absences

Valid reasons for excused absences include:

Illness
Death in the family (May Allah grant them Jannah)
Essential appointments (e.g., medical)
Work or school conflicts (with prior notification)
National holidays
Unexpected technical issues (Internet, Zoom, computer problems)

For an absence to be excused, a minimum of 12 hours prior notification before the class time is required. Once an absence is excused, you have two gracious options:

  1. Full Refund: A full refund for the missed class(es) will be processed via PayPal’s partial refund service. You will receive the exact amount paid for the session, with no deductions or hidden fees.
  2. Reschedule: We will endeavor to reschedule the class to another available day and time within one week, at your convenience, keeping your renewal date unchanged.

Maximum Excused Absences: The maximum number of classes that can be excused is 25% of your current cycle’s classes. For example:

4 hours per month subscription: 1 hour per month excused
10 hours per month subscription: 2.5 hours per month excused
20 hours per month subscription: 5 hours per month excused

Unexcused Absences

Absences not listed under “Excused Absences” or those without the required 12-hour prior notification will be considered unexcused. For unexcused absences, no rescheduling or refunds will be offered. We kindly request your understanding in this matter to maintain fairness and consistency.

Teacher Absences: Our Commitment to You



In the rare event that a teacher is unable to conduct a class for any reason, we will ensure minimal disruption to your learning.

The missed class will be rescheduled within one week at a time convenient for you, at no additional charge.
If a mutually convenient time cannot be found within the week, we will process a full refund for the missed class via PayPal. You will receive the exact amount paid, with no deductions.

Group Classes: Learning Together



We offer group classes for up to 10 students, fostering a collaborative learning environment. Special discounts apply for group enrollments:

Excused Absence in Group Class: In case of an excused absence from a group class, the missed class cannot be rescheduled due to the nature of group sessions. However, we will gladly refund you the fees for that specific class via PayPal.

Classroom Etiquette & Teacher-Student Relationship



We strive to foster an environment of Adab (Islamic etiquette), respect, and professionalism.

Professional Conduct: Students and Teachers must always maintain a professional relationship. Conversations should be limited to class materials. Personal information should not be shared.
Attendance: Only registered students are permitted to attend their class meetings, using one account and one device. Parents, family members, or friends are kindly requested not to attend the live session with the student to ensure a focused learning environment.
Prohibited Requests: Teachers are strictly prohibited from asking students for personal information, favors, or monetary gifts/loans. If such a request occurs, the student must decline and report it immediately to admin@kitabinstitute.com.
Official Platform: For security and quality assurance, all classes must be conducted through Kitab Institute’s official platform. Students and teachers are not to conduct classes externally for any reason.
Reporting Concerns: Any complaints regarding a teacher’s conduct or any breach of the teacher-student relationship must be reported immediately to admin@kitabinstitute.com. We take such matters very seriously.
Student Responsibility: Should a student neglect this policy, Kitab Institute will take necessary action to resolve the issue with the teacher. However, Kitab Institute is not responsible for any loss incurred by the student due to such negligence.

Tuition and Fees Policy



Kitab Institute is committed to maintaining a clear and transparent policy regarding all financial matters. We believe this approach fosters a relationship of trust and allows students to focus on their primary goal of acquiring knowledge.

1. Billing and Subscriptions

Billing Cycle: Tuition is billed once at the beginning of each subscription cycle.
Automatic Renewal: To ensure uninterrupted access to your studies, all subscriptions are automatically renewed on their scheduled renewal date.
Pausing or Canceling Your Subscription: If you wish to pause or discontinue your studies, you must notify the administration before your next billing date. This will prevent automatic renewal and future charges. Please contact our support team at support@kitabinstitute.com to initiate a change.
Modifying Your Subscription: Any changes to your subscription plan will take effect starting with the next billing cycle.

A Helpful Tip: If you plan to pause the subscription, it is best to do so at the end of a billing cycle, right before the renewal date. This ensures you get the full value of all the classes you’ve paid for in that cycle.

2. Fees and Payments

Payment Method: All tuition payments must be made directly to the official Kitab Institute PayPal account. To ensure security and proper crediting, please do not send payments through any other platform or to any individual’s account.
Transaction Fees and Taxes: Please be aware that tuition fees are subject to third-party transaction fees and applicable taxes. Currently, these include: PayPal Transaction Fee: 4.4% + $0.30 USD and Tax: 5%. These amounts will be added to the total tuition fee at the time of payment.

3. Class Management

Missed Classes and Makeup Sessions: We offer a makeup session or a refund for a missed class, provided that you give at least 12 hours’ advance notice. Requests made with less than 12 hours’ notice will not be eligible for a makeup session or refund.

Note: Kitab Institute reserves the right to make periodic adjustments to tuition fees for all enrolled students. Any changes will be communicated in advance, Insha’Allah.

Classes During Ramadan: Continuing Your Sacred Journey



Ramadan is a blessed month, and continuing your Quran and Arabic studies during this time can be immensely rewarding.

Continuity is Key: We highly encourage you to continue your classes during Ramadan. Pausing studies during Ramadan, Eid holidays, or summer breaks may lead to forgetting previously learned material and potentially losing your preferred schedule or tutor.
Schedule Adjustments: There may be slight adjustments to schedules to accommodate your teachers’ timings for Iftar (breaking fast), Suhoor (pre-dawn meal), and Taraweeh prayers. We will strive to minimize any inconvenience.
Your Comfort: Rest assured, we will make every effort to avoid scheduling your classes during your Iftar or Taraweeh prayer times. You may also request your tutor to minimize homework during Ramadan to help you balance your studies and worship.

Observance of Eid Holidays: Our Policy



At Kitab Institute, we are deeply committed to providing continuous learning opportunities for our valued students. In line with this commitment, the Institute remains operational throughout the year, with thoughtful consideration for the two major Islamic holidays: Eid al-Fitr and Eid al-Adha. May Allah accept our worship and grant us joy on these blessed occasions.

For Eid al-Fitr and Eid al-Adha, the Institute will observe a closure for the principal days of Eid. This allows our dedicated teachers, diligent staff, and esteemed students the cherished opportunity to fully engage in the spiritual observances and celebrations of these sacred times with their families and communities.

In accordance with standard practice for tuition-based educational institutions, please be advised that tuition fees will not be credited or refunded for these scheduled Eid holidays. Consequently, classes that fall within this designated holiday period will not be rescheduled. This approach enables us to maintain operational continuity and uphold our commitment to our staff, while simultaneously honoring these significant religious observances with the reverence they deserve.

Your Privacy Matters: Our Privacy Policy



The privacy and security of every student are of utmost importance to us. We are committed to protecting your personal information.

Confidentiality: The administration will not share or sell any personal information about any student to any third parties. Your trust is sacred to us.
Policy Compliance: This student policy is crafted with your privacy and safety in mind. We kindly request all students to comply with this policy to ensure a secure environment for everyone.
Profile Updates: Students are responsible for keeping the support team informed of any changes to their profile information, such as email address, time zone, phone number, etc.
Communication Channels: Students are requested not to share personal contact information or accounts (e.g., email, Skype, Facebook) directly with teachers or staff members. All official communication should occur through our designated support channels.

Showing Appreciation: Policy on Gifts for Teachers



We understand and appreciate the desire of students to show gratitude to their teachers. However, sending physical gifts overseas to Egypt can be complex and costly.

Monetary Gifts Only: We can only facilitate monetary gifts from students to their teachers. There is no limit on the amount.
How to Send: Monetary gifts can be sent as a personal check, money order, or e-transferred to admin@kitabinstitute.com.
Specify Teacher: Please clearly specify the teacher’s name for whom the gift is intended.
Forwarding: Once Kitab Institute receives the monetary gift, a financial officer will ensure it is promptly forwarded to the designated teacher.
No Physical Gifts: Regrettably, Kitab Institute cannot accept or facilitate the sending of physical gifts to teachers due to the risks and complexities involved in international shipping to Egypt.
